Antivirus protection is crucial but the growing list of very public data leaks and their often-expensive aftermath show that stopping external attacks isn’t the last word in protecting valuable information. The need for more safeguards has spawned a new class of protection dubbed data-loss prevention or DLP.

Chronis said spam —- unwanted e-mail usually sent in bulk —- and phishing —- an e-mail designed to trick the recipient into revealing personal information —- can lead to identity theft a serious crime. Viruses can play havoc with an infected computer or modify programs to send vital information secretly to an outside source. Chronis and his team have set up a series of layers of protection consisting of technology processes and people he said. “Daily we protect customers from one-half billion sources of spam” he said. “We prevent 50 spam messages per mailbox per day. You don’t even see them. ”He compared his people and processes to detective work to find out where the spam is coming from.

 There have been many laws passed in response to the overwhelming amount of junk fax and e-mail that individuals and businesses receive daily. But fax and e-mail advertisements can still be effective marketing tools in their own right if they are used properly. According to Stephen Hall an associate with Dorsey and Whitney in Denver “the Telephone Consumer Protection Act and the Can-Spam Act among other laws aim to protect consumer rights and generally prohibit businesses from sending unsolicited or misleading advertisements to consumers via fax or e-mail. ” If you choose to include e-mail or fax transmissions in your marketing efforts seek guidance for compliance with these laws and keep the following guidelines in mind:Always include conspicuous opt-out or unsubscribe options on the fax or a return e-mail in the case of e-mail transmissions and have a process to comply with a fax opt-out request within 30 days or an e-mail unsubscribe request within 10 days. Send marketing fax transmissions only to individuals or entities that have requested information or whose contact information has been voluntarily obtained through a business relationship or transaction. Correctly identify yourself at all times on the fax or e-mail document and in the case of fax transmissions include a footer with the date and time and the name of sender. Accurately identify the content of the message and indicate that the e-mail is an advertisement solicitation or promotion.
